What this notice covers

This notice explains what personal information we collect when you buy a Life Beading kit, book a workshop or session, sign up to hear from us, contact us or use our website, and how we use and protect that information.

When you place an order

When you buy something through our website, we may collect your name, email address, delivery and billing address, telephone number if supplied, and details of the products you have ordered.

We use this information to process your order, send it to you, communicate with you about it and deal with any queries, returns or refunds.

Lawful basis: performance of a contract with you.

Payments

Our online shop accepts credit and debit cards, Apple Pay and Google Pay. Payments are processed securely through payment services connected to our Wix website.

We do not receive or store your full card details.

We receive the information necessary to confirm that payment has been made and to administer your order.

Lawful basis: performance of a contract with you and, where appropriate, our legitimate interests in preventing fraud and maintaining accurate business records.

Workshop and session bookings

If you book a Life Beading workshop, event or bespoke session, we collect the information needed to administer your booking, such as your name, email address, booking details and payment information.

Bookings may sometimes be handled through a third-party booking service such as Ticket Tailor. Where this happens, that service will also process your information in accordance with its own privacy arrangements.

Lawful basis: performance of a contract with you.

Staying in touch

You may choose to give us your name and email address through a form on our website asking to stay in touch for Life Beading news.

If you do, we may use those details to send occasional emails about workshops, kits, events and other Life Beading news.

We will only use information collected through this form for marketing where you have actively chosen to receive it. You can unsubscribe at any time using the link in an email or by contacting us.

Lawful basis: consent.

At present, we do not send a regular newsletter, but details supplied through this form may be retained so that we can contact you when we begin sending Life Beading news.

When you contact us

If you contact us by email, through the website, social media, WhatsApp or another messaging service, we may keep your name, contact details and the contents of your message.

We use this information to respond to your enquiry and, where appropriate, to maintain a record of our correspondence.

Lawful basis: our legitimate interest in responding to enquiries and running our business.

When you use our website

Our website is hosted by Wix.

Like most websites, it collects some technical information automatically, which may include your IP address, device and browser information, pages visited and information about how you reached the site.

Some of this information is necessary for the website to operate securely and correctly. Other information, such as analytics data, is only collected where you have given permission through our cookie banner.

Lawful basis: legitimate interests where processing is necessary for website security and operation; consent for non-essential analytics and marketing cookies.

Photographs at workshops and events

We sometimes take photographs at Life Beading workshops or events for use on our website, social media or promotional materials.

We will ask before photographing identifiable participants. You are completely free to say no and this will not affect your participation.

If you have previously agreed to the use of an identifiable photograph and later change your mind, you can contact us and we will stop using it where reasonably possible.

Lawful basis: consent.

Testimonials

If you provide a review or testimonial and agree that we may publish it, we may use your words and any name or other identifying information that you have agreed may accompany them.

You can ask us to stop using an identifiable testimonial at any time.

Lawful basis: consent.

Who we share information with

We do not sell your personal information and we do not share it for anyone else's marketing.

We may share information with organisations that help us run the business, including:

  • Wix, which provides our website, online shop and associated services;

  • payment services used to process online payments;

  • Ticket Tailor, where it is used for workshop or event bookings;

  • Royal Mail and other delivery services, where needed to deliver an order;

  • professional advisers or accounting services where necessary for accounting, tax or legal purposes;

  • HMRC, where we are legally required to provide information;

  • Meta services such as Facebook, Instagram and WhatsApp, and other social-media platforms, where you choose to communicate with us through those services.

Those organisations may have their own privacy notices governing the information they process.

We may also disclose personal information where we are legally required to do so.

Information processed outside the UK

Some organisations that provide services to us may process personal information outside the United Kingdom.

Where personal information is transferred internationally, we rely on the safeguards required by UK data-protection law.

How long we keep information

We keep personal information only for as long as we reasonably need it.

As a general guide:

  • order, payment and accounting records may be retained for up to six years where needed for tax, accounting or legal purposes;

  • marketing contact information is kept until you unsubscribe, withdraw your consent or we decide it is no longer appropriate to retain it;

  • general correspondence is kept for as long as reasonably necessary to deal with the enquiry and maintain appropriate business records;

  • booking information is retained only for as long as reasonably necessary for administration, accounting and any follow-up relating to the event;

  • photographs and testimonials used with your consent may be retained until they are no longer needed or you withdraw your consent.

The ICO requires organisations either to state retention periods or explain the criteria used to determine them, so this slightly flexible wording is perfectly legitimate for a very small business.

Cookies

Our website uses cookies and similar technologies.

Some cookies are essential for the website to function, for example to operate the shop, maintain security and remember information during your visit.

Other cookies, such as those used for analytics or marketing, are optional. These are only used according to the choices you make through our cookie consent banner.

You can change your cookie preferences through the privacy settings available on the website.

Children

Some Life Beading workshops and events may be suitable for children or young people.

Where a child attends, bookings and contact information will normally be handled through their parent, guardian or another responsible adult.

We do not knowingly use children's personal information for marketing purposes.

Your rights

UK data-protection law gives you a number of rights in relation to your personal information. Depending on the circumstances, these may include the right to:

  • ask for a copy of the personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete your information where there is no continuing reason for us to keep it;

  • ask us to restrict the way we use your information;

  • object to certain uses of your information;

  • withdraw consent at any time where we rely on consent;

  • ask for certain information to be transferred to you or another provider.

If you would like to exercise any of these rights, email info@overthestile.co.uk.

We will normally respond within one month.

If you are unhappy with how we have handled your information, you also have the right to complain to the Information Commissioner's Office (ICO).

You can find information about making a complaint at ico.org.uk or telephone the ICO on 0303 123 1113.

Security

We take reasonable and appropriate steps to keep personal information secure, including using reputable service providers, secure website hosting and limiting access to information.

If a personal-data breach occurs, we will deal with it in accordance with our obligations under UK data-protection law.

Changes to this notice

We may update this privacy notice occasionally, for example if the way we operate the website or use personal information changes.
